Visitor check-in for K–12 schools
Replace the paper sign-in sheet. Keep the front desk calm.
Visitors scan a poster and check in on their own phone in about a minute. Your front desk sees everyone on campus at a glance, and only hears about it when someone needs attention.
- No app to download
- Works on any phone
- Board for desktop and iPad

How it works
About a minute at the door. Nothing to install.
Plain words and big buttons, made for a busy moment at the front office.
-
Scan the poster
A QR poster at the entrance opens check-in in the phone’s browser. No app and no account.
-
Fill in
Name, date of birth and who they’re visiting, plus an optional photo. Returning visitors confirm a few details.
-
Show the live pass
Today’s color and word, a ticking clock and a code that refreshes every 30 seconds.
-
Check out
One tap on the way out. Passes expire on their own if someone forgets.
No phone? The front desk checks visitors in with the same few questions.
For the front desk
Calm until something needs attention.
The live board shows who is on campus, why they’re here and when each pass ends. Red appears in one place only: when a visitor needs review.
- Everyone on campus, sorted by when their pass ends
- A banner and an optional sound when someone needs review
- Check visitors out, or check in someone without a phone
- Made for the front-desk computer and iPad
The pass
A pass staff can trust at a glance.
Each campus gets a new color and word every day, so yesterday’s screenshot looks wrong today. A ticking clock, a moving shimmer and a code that refreshes every 30 seconds make a still image easy to spot.

Ends on time
Every pass has a valid-until time. When it passes, the code disappears and the pass says Expired.
Tied to one phone
A pass only works on the phone that checked in, so it can’t be forwarded to a friend.
Checked in seconds
Any staff member can scan a pass with their phone: Valid, Expired or Not valid, full screen.
Screening and privacy
Screening that stays out of the visitor’s way.
SafeEntry checks each visitor against public registries and your district’s own watch list. A possible match never turns anyone away automatically. It goes to a trained person, who decides and records why.
A visitor who is held sees one calm message: please see the front office. It looks the same whether the cause is a possible match or a dropped connection.
-
Nothing alarming on screen
Visitors never see a mention of checks, lists or matches.
-
A person decides
Admins see the full record. On watch list alerts, front-desk staff see only “Alert: see an admin.”
-
Every decision recorded
Who decided, when and why, kept in an audit log.
-
Staff accounts with MFA
Separate roles for front desk, campus admins and district staff.
-
Retention you set
Choose how long visit records are kept, within your district’s policy.
-
Designed for WCAG 2.1 AA
Large touch targets, plain language, and status never shown by color alone.
